Field guide

  • SKU — the item's permanent identifier, assigned once at intake and never reused. See the SKU-system guide for the format used above.
  • Item Name — a short, clear description, not the full listing title.
  • Category / Condition — kept as short, consistent values (a fixed list you reuse) rather than free-text that drifts over time.
  • Location — the current storage location ID (see the bin-and-shelf guide) — update this every time the item physically moves.
  • Purchase Cost — what you paid, excluding later prep/repair costs, which belong in your expense tracking instead.
  • Asking Price — your current listed price, not your original target or your walk-away minimum.
  • Date Acquired — when you got the item, not when it was listed.
  • Status — a small fixed set of values (e.g. intake, queue, listed, pending, sold, archived) rather than free text.
  • Platform(s) — where it's currently posted; update when a listing is added or removed.
  • Date Listed / Date Sold / Sale Price — left blank until each event happens; filling Sale Price before Date Sold is a common source of spreadsheet errors.
  • Notes — condition detail, known issues, or anything else worth remembering — never purchase cost or your minimum acceptable price if this sheet or its columns will ever be shared with anyone else.
